An AI layer for accounting workflows

Reading a document is not enough.
You need to understand it.

Doklady.ai automatically extracts data from invoices and documents, checks VAT, and prepares output for the next step in your accounting.

It is not another OCR tool. Doklady.ai is not a standalone system, but an explanation of why a mere transcript of a document is not enough and why you need output ready for real accounting.

Invoice and document extraction VAT checks Control statement workflows On-premise or EU cloud
Input PDF, scan, image An invoice goes in. The system returns structured accounting-ready data.
Difference Extraction + validation Not just text transcription. Cross-checks, VAT logic, and output readiness.
Control Penny-perfect logic Catches differences, rounding, and inconsistencies before they become incidents.
Deployment Sensitive data, your rules Public AI APIs are not a requirement. Deploy the way your company actually works.
Capabilities

Not only extract a document — prepare it for reality.

Doklady.ai covers the input layer above the file: from extraction and validation to output that can continue into your accounting system, workflow, or filing.

Automatic data extraction

Line items, VAT, tax dates, symbols, supplier, customer, accounts, amounts, and the fields your next accounting step actually needs.

Accounting logic checks

Not only what is printed on the invoice, but whether the result is coherent for VAT, control statements, and downstream processing.

Export and follow-on workflow

ISDOC, Pohoda, and preparation for other systems — fewer blind rewrites and more usable output.

The outcome is not extraction alone — it is output ready for the next accounting step without manual fixes.

This layer shows what really needs to be handled above the document. In practice it is implemented in the DS-Accountant system.

Why not OCR

OCR reads text. That is still not enough.

With documents, the hard part is rarely “what letters are on the page”. The hard part is whether it all fits together so the next step does not drown in manual fixes.

Typical OCR tooling

  • Reads text, but does not ask whether it is accounting-meaningful.
  • Extracts values, but leaves humans to guess the rest.
  • Returns data without checks, not output ready for a real workflow.
  • Errors surface late — during review, export, or filing.

Doklady.ai + DS-Accountant

  • Extracts data and places it into accounting context.
  • Checks relationships, VAT, rounding, and output readiness.
  • Returns structured results you can continue working with.
  • Fewer fixes and less manual work before export or submission.

In practice this gap is addressed in the DS-Accountant system, where you can walk through the full process on your own documents.

How it works

Four steps from document to output.

Simple from the user's perspective. In practice it is a controlled process implemented in the DS-Accountant system.

1

Upload the document

PDF, scan, or photo. No painful onboarding and no retyping into forms.

2

AI extracts structured data

Line items, VAT, tax dates, amounts, symbols, banking details, supplier and customer.

3

Validation runs

Relationship checks, rounding, and readiness for VAT, control statements, and other follow-on steps.

4

You move forward

Export, integration, workflow, or filing prep — fewer blind steps and more control.

Who it is for

For accounting firms, in-house finance, and sensitive operations.

Anywhere “something was read somehow” is not enough — you need confidence and a clean handoff to the next step.

Accounting firms

Less manual retyping, faster processing at higher volumes, and stronger checks before export.

In-house finance teams

A stable layer for documents, VAT, and follow-on processes without moving sensitive data outside controlled environments.

Sensitive data and audit

On-premise or a controlled EU cloud where security, audit trails, and operational certainty matter.

Try it

Want to see it on your own invoice?

The engine and demo run on DS-Accountant.ai. Doklady.ai explains the principle and the difference between OCR and a real accounting workflow.

You see the output on your own documents — not on sample data.

FAQ

Frequently asked questions

Is this just “OCR for invoices”?

No. OCR is only one step for us. What matters is understanding the document content — that lets us work with data in context, check relationships, and achieve higher accuracy than typical OCR tools. If something is missing or inconsistent, the system flags inconsistencies. The outcome is not merely retyped data, but verified output that makes accounting sense and is ready for further processing.

Where is data processed, and who can access it?

All documents stay encrypted for the entire processing lifecycle, and work on them happens in a controlled, auditable environment. Every access and every operation on the data is recorded, so you can see what is happening to your documents. No unauthorised people have access to the data. Processing does not run through public AI APIs. Advanced operations on documents also run in secured infrastructure, without handing data off to external services. Sensitive accounting information therefore remains in a mode that meets expectations for security, control, and auditability.

Is it only for purchase invoices, or also sales invoices and other documents?

Yes — both purchase and sales invoices. From those documents we prepare the basis for your VAT return, control statement, and VAT summary return. After your review, you can submit them directly to the Financial Administration through the Data Box that is built into the solution. It goes beyond processing documents alone: it covers the follow-on steps in accounting — from capture through to submission. We are gradually expanding support for additional document types.
